Privacy notice

ABACUS PRIVACY NOTICE Version 2026-10-17 This notice explains what Abacus (operated by Utsa Poddar) collects, why, who helps process it, and how long it is kept. 1. What we collect - Account details: email address, province or territory, birth date (used to work out whether a student is a minor), and a password stored only as a one-way hash. - Learning content: course names, the materials you upload, text extracted from them, your saved chats with the AI tutor, your learning preferences, and a short learning note for each course (see section 3) that the AI tutor writes about where you struggle and what helps. - Booking and payment records: bookings, wallet credit and charges, session notes and feedback, and attendance times. - Guardian links: where a student is a minor, the guardian's email and the record of their consent. - Technical records: sign-in sessions and basic security logs. 2. Why we use it To run your account, provide AI tutoring and optional human tutoring (including the learning notes that help the AI tutor and your booked tutor start where you left off), send account emails (verification, password reset, booking and guardian notices), keep financial records, and keep the service secure. We do not sell your data and we do not send marketing emails. 3. Service providers - AI model providers process your questions and the relevant parts of your materials to produce AI tutoring replies. - Google (Gmail) delivers our account emails. - Oracle Cloud Infrastructure hosts the service and stores data on servers in Toronto, Canada. - A payment processor will be named here before real payments open. These providers receive only what they need to do their part. Tutors you book: a tutor you have booked can open the course folders, files and learning notes of the courses you share for that booking, from the time you book until one hour after the session ends. By default the courses whose subject matches the booking are shared. You can switch any course on or off for each booking before the session, and your booking card shows each time the tutor opened something. A tutor can read this material but cannot change or delete it, and loses access when the window ends or the booking is cancelled. 4. How long we keep it - Uploaded materials and anything derived from them (extracted text, transcripts, indexes, summaries) are deleted when you delete them, and in any case within six months. - Saved chats are deleted automatically after 30 days with no new message. - Saved learning preferences expire six months after they were saved. - Learning notes are deleted six months after they were last updated, when you delete them, or when you delete the course. Records of when a tutor opened your material are kept for six months. - Server backups are kept for up to 14 days and are then overwritten. Deleted content may remain in a backup until that backup expires, and is removed again if a backup is ever restored. 5. Minors and guardians A student who is a minor cannot accept on their own. A guardian reviews and accepts the agreement and this notice, and may withdraw that consent. 6. Your choices You can see, download and delete your uploaded materials in your account. You can also read, edit and delete the learning note for each course, and choose which courses a booked tutor may open. To ask for your account to be deleted, or for a copy of your data, email tutoringabacus@gmail.com. We confirm that the person asking controls the account email before acting. 7. Changes If this notice changes, a new version is shown and must be accepted before it applies to you. Contact: tutoringabacus@gmail.com

Google Calendar and Meet

When a human tutoring session is booked, Abacus creates an event with a Google Meet link on its own Google Calendar and adds the booking's tutor and student by email address as guests, so the call link and reminders can be shared. Abacus does not read, list or change anyone else's calendar, does not sell this information, and does not use it for advertising. The event is deleted when the booking is cancelled or rescheduled.

Abacus's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
